Think about how many documents are stored in your CRM system. There’s at least thousands, if not millions, of forms, papers, policies, and reports stored in there. And chances are, you rely on that content to get work done, so it has to be organized.
Before software, we relied on the good old-fashioned filing cabinet to manage the chaos. That system came with a number of limitations though. If a specific document belonged in multiple folders, you had to copy it, then put it in a separate folder. To be even more organized, you had to put multiple folders inside bigger folders with their own separate label. While this does help to keep things organized, finding a specific document took forever.
Well, believe it or not, we’ve actually carried over some of those limitations into our digital systems. How many folders are you using to keep track of all the information in your CRM? Is it easy to find what you’re looking for? Probably not. With the available technology we have, it’s time to implement a more effective way to manage content. And Microsoft has just announced this better way: SharePoint Syntex.
This new solution is the first one released with Microsoft’s Project Cortex. Syntex was created to help businesses better maintain the staggering content stored in their systems, and drive faster, smarter business outcomes.
SharePoint Syntex
Using machine learning and advanced AI technology, Syntex is able to accumulate data from content, turn it into metadata, and store it within a SharePoint library. When asked about the purpose of Syntex, Microsoft leaders stated that it’s “designed to amplify human expertise, automate content processing, and transform content into knowledge. It delivers intelligent content services that work the way you do.”
Here’s how it works: Syntex relies on models created by users to classify and organize documents, and then extract certain data. Users can also apply sensitivity or retention labels to safeguard private information.
Ultimately, the purpose of the solution is to help users avoid the time and hassle of tagging each individual piece of content while helping users to find information faster.
Syntex’s Three Buckets
Let’s take a closer look at SharePoint Syntex. Essentially, it can be broken down into three buckets: content understanding, content processing, and content compliance. However, before we can utilize these buckets, a content center needs to be created.
Content Center
When you first set up Syntex, a default content center will be created. This is where all content models will be created and stored, and where you’ll apply models to certain documents. Admins can easily create additional centers as needed.
Content Understanding
After you’ve created a content center, you can start training Syntex models through sample files. This includes documents such as documents, images, PNGs, and PDFs, etc. While the model only requires five positive file examples and one negative, the more files you upload, the more accurate Syntex is.
Next, content explanations are created. These usually include phrase lists (specific words or characters, pattern lists (patterns of numbers or characters), or proximity (how close explanations are to each other).
Once you’ve finished setting up training parameters, you can see how accurate each one is by testing them in your content center.
Content Processing
The content processing is where content is captured, ingestion, and categorized, which helps to streamline content-centric processes that rely on Power Automate. For example, if your team regularly relies on structured forms (surveys, purchase orders, invoices, etc.), you can train Syntex to gather certain values to create metadata that will help with search parameters and discovery.
Content Compliance
After you’ve fully trained your models, it’s time to secure them. This bucket allows you to comply with your organization’s security and compliance policies by setting up sensitivity and retention labels that are automatically applied when content is uploaded. This way, everything stays secure.

Most often SMB customers who are implementing (or planning to implement) Dynamics 365, enquire about a platform to store their files, documents, etc. And another request that comes along with it (obviously) is the integration of that document management system with the CRM system.
Now, although Dynamics CRM provides a way to store some files etc. (out-of-the-box, that is) the Notes and attachments feature. It usually does not serve the exact purpose of the client (unless they have a very limited need for files/documents storage). Especially for an SMB, a CRM with unlimited storage is of prime importance to keep all the prospect/lead data, customer information, and so on.
To accomplish this requirement, there are a few solutions available. The major one that stands out usually, is from the Microsoft vault. Can you guess what am I talking about? It is the SharePoint and Dynamics 365 integration!
SharePoint has been around for a long time now, and it is a platform of choice for many companies, be it the large conglomerates or the small and midsize businesses, for their document management needs. So, many of the SMB clients we work with already have it in place. In which case they prefer it to be integrated with Dynamics 365 so that they can save without switching over to a different platform.
And looking at the integration point of view, it is the easiest one we can integrate with Dynamics 365. Both the products are from Microsoft, and a few years ago, Microsoft provided seamless out-of-the-box integration between the two.
Based on the online or on-premise aspects, there are 4 different integrations possible:
SharePoint Online + Dynamics CRM Online
SharePoint Online + Dynamics On-Prem
SharePoint On-Prem + Dynamics CRM Online
SharePoint On-Prem + Dynamics CRM On-Prem
In this blog, we would like to look at most of the aspects of SharePoint Online integration with Dynamics 365 – Server-based SharePoint Integration.
If you haven’t enabled it yet, you will see this alert on top of your CRM homepage, to enable the server-based SharePoint integration.
What you can do from within Dynamics:
You can create, update, delete, upload documents to SharePoint from within Dynamics.
Check-ins, check-outs
Update document properties
Anything that you could do from within SharePoint.
Setup:
You can go to Settings -> Document Management and go through the wizard to configure it. (You would need your SharePoint portal URL – this is where the folders would be created automatically once the integration is configured)
Make sure that the SharePoint portal is in the same Office 365 tenant as your Dynamics 365. The above configuration will only make sure that SharePoint is enabled for the Dynamics instance. However, we would need to configure separately, whatever entities we want to be enabled for Document management, through the Settings -> Document Management -> Document management settings.
An interesting and fun part of the Server-based SharePoint integration is that it uses the Entity Display name (e.g., Account, contact, etc.) to build the SharePoint library. And any documents related to an Account record would be under the Accounts Folder and further under the record ID folder.
Once you are done configuring an entity for Document management, you should be able to see the “Documents” as a related link in the Related entities section of the entity record.
Bonus Tip:
once you enable the server-based SharePoint integration, you are good to integrate OneDrive and OneNote with Dynamics as well.
Permissions required:
SharePoint:
The primary thing to notice here is that this integration provides a window to your SharePoint portal from within D365, so you will have to have appropriate permissions to the SharePoint portal to access it anyways.
Known Issues/Errors- If Dynamics CRM receives an Unauthorized response from SharePoint, it could be because the device that is being used to access SharePoint is blocked using the Share point’s access restriction method. Make sure the Full Access is enabled for Unmanaged devices using the SharePoint Administration settings.

Today, it seems that most companies are using more than one business application. Each application has its own unique features and provides value to different departments. To improve user adoption, some of the applications are likely integrated with one another. This could be either natively or with a custom integration built at the hands of your development team.
While each application has its own unique role, they likely share the same security model per your organizations business requirements. However, integrating security requirements between applications is often overlooked or is a manual process and prone to error.
In this post, we will take a quick dive into how you can achieve this with 2 integration applications – specifically syncing Dynamics 365 user permissions with SharePoint.
For the sake of simplicity, let’s assume that your Dynamics 365 org currently has a custom security structure. Additionally, you already have an integration to SharePoint (or you want to). Specifically, it integrates your Dynamics 365 Accounts to an Account folder structure in SharePoint.
Dynamics 365 vs SharePoint security structure challenge
Here’s an example of what your security structure might look like in Dynamics 365. This is an Account (client) record with a unique Account team that is comprised of dynamic users. Only these users have access to this Account record (aside from Admins):
As this team changes, the permissions to this Account record will change. In SharePoint, your admins currently have to manually maintain the security for this clients folders. This is an inefficient use of their time, not to mention it is also prone to error.
The solution
In order to accurately keep up with these changes, a custom process can automatically synchronize the Dynamics 365 user permissions to your SharePoint. As users change on the teams in Dynamics, the process will automatically kick off and refresh the permissions on the clients folders in SharePoint.
Developers can use both the Dynamics 365 API and the MS Graph API to retrieve the team members from Dynamics and then grant write and read permissions at the SharePoint folder level. If your SharePoint folder structure is currently not organized based on the data you have in Dynamics 365, the MS Graph API can also be used to produce a relevant and consistent folder structure automatically in SharePoint.

While Lists is still relatively new, the application is powerful, smart, and flexible, helping you to create business solutions in a faster, more efficient way without a lot of coding.
Views Available Within Lists
Presently, Lists features four default views: calendar, gallery, grid, and list.
Calendar: For projects or tasks that have a tight schedule or deadline, you’ll want to use the calendar view. Everything from the project’s start date to its finish is displayed on a visual calendar, helping team members see when work is due and plan accordingly. This ensures that all work is moving quickly down the workflow and finished on time.
Gallery: If you’re working on a list or project that features a lot of images, the gallery view helps you to arrange information within the card in organized rows.
Grid: This is the primary view within Lists. Rows and columns can easily be changed or reconfigured depending on the specific task you’re working on. Grid view is best used if you need to quickly edit or update information.
List: The list view has a similar format to retired SharePoint lists; however, this view doesn’t feature point and click capabilities as of today.
Lists is designed to track information and tasks based on the unique needs of your team. To help you do so, each view can be further modified for better, more efficient tracking. Color coding is just one example. Say you have a specific approval process for tasks. You could use various colors to show where each task is in the approval process. Items that are currently being reviewed by stakeholders could be colored red and approved items could be colored green.
Color coded comments can also help keep your team organized. For example, each staff member could be assigned a specific color. Should a question or concern arise that they need to review, you can color code it their color so they’ll know to take a look at it. You could also use color coding to alert your team of changes to a task or deadline. This helps to keep your entire team on the same page and ensures work is finished on time.

Suppose you have both SharePoint Security Sync and DocuSign installed in your CRM. Now, to activate this feature all you have to do is to just check the field named ‘Enable DocuSign Integration’ while creating a new connector configuration in SharePoint Security Sync for your CRM.

Find out how one organization thought they were good to go but after running the Modernization Scanner we found 1000’s of broken workflows.
If you’ve been using SharePoint 2010 to manage your CRM system, you might be in trouble. As you may have heard, Microsoft announced that SharePoint 2010 Workflows are being retired. This announcement stems from the company’s focus on adopting newer tools and technology and their push to have users quickly adopt Power Automate
Given the company’s push towards Power Automate, this announcement was only a matter of time, but it could leave businesses who are still relying on these workflows in a tough spot. But what exactly is being turned off?
Here’s what we know so far: all SharePoint 2010 Workflows were switched off on August 1, 2020. If you were planning on migrating any workflows to a new tenant, it is no longer possible. To help make the transition away from SharePoint 2010 easier, here’s what you can expect.
Any workflows that are running on SharePoint 2010 in an existing tenant must be moved by November 1, 2020 and be recreated in either Power Automate or another system. If you don’t move them, they may stop running.
Beginning on the first of November, Microsoft will start removing users’ ability to create or execute 2010 workflows. While you won’t be able to run existing 2010 workflows, you can still access them. Please note that as Microsoft continues to move towards newer technology, you may lose access to these workflows in the future.
It’s expected that the following workflows will be affected by the retirement of SharePoint 2010:
Signature collection: This workflow routes a Microsoft document to gather electronic signatures.
Gather feedback: The workflow that gathers feedback from specific people or parties.
Classic pages publishing approval: When you need to send content or sample web pages to clients or customers for approval, this is the workflow you would use.
Three-state: This workflow is used to manage business processes that require users to track a number of items or issues such as sales leads, project tasks, or support issues.
Approvals: When you need approval from designated parties, this workflow routes the item or document to the right person.
Moving SharePoint 2010 Workflows to Power Automate isn’t a simple task. While migrating simple workflows is relatively straightforward, migrating long, complicated processes can take much longer than the few months given by Microsoft. You don’t want to run the risk of losing access to the business processes you rely on after November 1 as this can create numerous problems for your organization. So what are you to do?
It’s recommended to get in touch with a Microsoft representative or Microsoft Partner that has experience in using Power Platform. JourneyTEAM is one of those partners. It won’t. Microsoft has specified that on-premise workflows for SharePoint 2010 and SharePoint 2013 will continue to be supported until 2026.
As of today, Microsoft has made no announcement that SharePoint 2013 workflows will be retired. However, while they’ll still be supported, they will be deprecated.
By default, all SharePoint 2013 workflows will be turned off for new tenants after November 1, 2020. However, should you need to activate the 2013 on a new tenant, you can do so using the PowerShell script provided by Microsoft.
Don’t think that 2010 workflows are safe in SharePoint 2013. While Microsoft has not yet announced the retirement of SharePoint 2013, it’s only a matter of time before this announcement comes. Especially considering that Microsoft has repeatedly emphasized that their preferred workflow solution is Power Automate and Office 365. To be safe, any workflows you recreate in SharePoint 2013 should be recreated in Power Automate to ensure you don’t lose access to these workflows.
Moving your workflows directly to Power Automate can help you save hours of work. But migrating to the platform isn’t as straightforward as it seems. SharePoint 2010 and 2013 have different features than those in Power Automate that allow some workflows to be recreated and others not. You’ll need to determine how complex your workflows are and if Power Automate features all the actions contained in the existing workflow. To help you figure this out, Microsoft has created the Modernization Scanner.
While you only have a few months to migrate your workflows, there’s no need to start panicking. Your first step is analyzing your system and figuring out exactly which workflows will be turned off on November 1, 2020.
This is exactly what the Modernization Scanner tool does. It scans your entire system and pinpoints exactly which workflows will be affected by the retirement. Plus, it can help for further modernization by providing a report that details:
Which lists and libraries can be modernized
Where rebuilding of classic portals need to be done
Which classic workflows, InfoPaths, and blog pages are being used
The Modernization Scanner will show you exactly which workflows will be affected at the beginning of November. Additionally, the insight gained from the scanner will specify which SharePoint 2010 features can’t be recreated in Power Automate or another modern system. This enables you to work with your IT team to figure out how to recreate those actions and tasks within a modern server, so that your business processes won’t be disrupted.
Even with a thorough knowledge of your system, you can never be 100% sure that there aren’t a few SharePoint 2010 workflows hiding in the shadows.
